Privacy Policy

Ventaria Software Solutions ("Ventaria", "we", "us"), a sole proprietorship owned by Brandon Filmer, respects your privacy. This policy explains what personal information we collect through ventariasoftware.com, why we collect it and how we protect it, in line with the Protection of Personal Information Act, 2013 (POPIA).

Information we collect

• Information you send us: when you use our quote form, email us or message us on WhatsApp, we receive the details you choose to share, such as your name, company, email address, phone number and information about your project.
• Basic technical information: our hosting provider (Cloudflare) processes standard technical data such as your IP address and browser type to deliver and secure the website.
• Visitor statistics: we use Cloudflare Web Analytics to see how many people visit and which pages they view. It does not use cookies or identify individual visitors. We do not use advertising or tracking cookies.

How we use it

• To reply to your enquiry and prepare a proposal or quote.
• To provide and support the services you sign up for, including invoicing.
• To meet our legal and tax obligations.

We do not sell your personal information, and we do not use it for marketing unless you ask us to.

Who we share it with

We only share personal information with service providers that help us run our business, such as our website host and email provider, and only as far as needed for them to provide that service. Some of these providers store data outside South Africa; we only use providers that protect personal information to a standard comparable to POPIA. We may also disclose personal information where the law requires us to.

How we protect it

We use reasonable technical and organisational measures to keep personal information safe, including encrypted (HTTPS) connections, reputable hosting and email providers, and access limited to the people who need it. No method of transmission or storage is completely secure, but if we become aware that your personal information has been accessed by an unauthorised person, we will let you and the Information Regulator know as POPIA requires.

How long we keep it

We keep enquiries for as long as needed to respond and follow up, and client records for as long as the law requires (for example, for tax purposes). After that we delete them securely.

Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it, or object to how we use it. To do so, email us at [email protected]. If you are not satisfied with our response, you may complain to the Information Regulator of South Africa (inforegulator.org.za).
